Hosting Dances

Opening Duties before the Dance

  • Unlock all doors (get flashlight Now, for after you lock up)
  • Turn on water and electricity – Switch box located above the publicity table inside RFL.
  • Check for broken water pipes, repair as needed
  • Light water heater pilots
  • Start heaters (fans in the summer)
  • Sweep the floor
  • Fill water jugs (Connect hose to water filter. If you do not use filter, drinking water will look dirty)
  • Pick up any trash missed after last dance
  • Set up tables for potluck
  • Set out plates, utensils, napkins, etc
  • Water in coffee pot – Winter
  • Make sure bathrooms are clean
  • Check bathrooms for toilet paper and paper towels
  • Pick up trash outside
  • Count and record money in tin
  • Assign a cashier(s) for the evening. Cashier should be at the door from 7 PM until the dance break.
  • Make sure any loose plastic is stapled up
  • After potluck, move and clean tables, deal with food
  • Note discrepancies or unusual events.

Announcements during the Break

  • Welcome to River Falls Lodge
  • Welcome to beginners
  • Introduction and names of band members, callers and sound people
  • Thank people who helped open up
  • Remind people to pay
    • Adults – $8-10
    • Teenagers (14-17) – $5
    • Non-dancers (14 and older) – Half price donation
    • Children – Free
  • Remind parents to keep track of their kids
  • Remind everyone about inappropriate dance behavior
  • Announce the next few dances
  • Mention HMFS items that are available for sale:
    • MoonDance Shirts – $5
    • RFL Shirts – $15
    • RFL sketch by Bill West -$150
  • Ask for volunteers to help close down after the dance – Call for show of hands

Closing Duties after the Dance

  • Count money, pay band 
  • Ensure HMFS treasurer receives money and payment form for the evening’s dance
  • Winter – Check that the plumbing drains are open 
  • Pick up trash and haul away
  • Make sure there is enough current flyers on the table
  • Winter – Drain, rinse coffee pot
  • Clean bathrooms
  • Drain water jugs, rinse, store top up, w/lids inverted (to prevent molding)
  • Make sure sound equipment room is locked
  • Lock Hall doors (except back door)
  • Winter – turn off gas valve on top of tank. Check gas level. If less than 15%, order propane.
  • In non-freezing weather, turn off all breakers at the switch box EXCEPT “Main” (upper center), and “Pump” (lower right) in the electric panel above the publicity table. In freezing weather, follow the “water system start-up (winter) sheet”.
